GetApplyMD is a platform that helps medical professionals search Australian clinics, manage outreach activities, and organize clinic communication workflows.

This Privacy Policy applies to public visitors, account holders, and authorized workspace users who access GetApplyMD through our website and product.

We may collect and process the following categories of information:

• Account information: such as your name, email address, workspace details, and account preferences.
• Google account information used for authentication: limited information needed to sign you in and maintain account access through Google Sign-In.
• Gmail information only when users explicitly connect Gmail: Gmail-related access is used only after separate authorization for the requested outreach features.
• Clinic and outreach data created by users: including clinic records, campaign activity, notes, replies, follow-up status, and related workflow information entered or generated inside the platform.
• Technical and usage information: such as log data, browser type, device information, IP address, session activity, and security telemetry used to operate and protect the service.

GetApplyMD uses information to operate and improve the service, including for:

• Providing account access
• Managing workspaces
• Managing outreach campaigns
• Enabling optional Gmail outreach features
• Improving security and reliability

• Google Sign-In is used only for authentication and account access.
• Gmail connection is optional.
• Gmail access requires separate user authorization.
• Users can connect or disconnect Gmail from Settings.
• Gmail data is only used to provide requested outreach features.

GetApplyMD does not access Gmail content for users who have not explicitly connected Gmail. When Gmail is connected, access is limited to the features the user has chosen to enable inside the product.

• We do not sell personal information.
• We do not share customer data except as needed to provide the service, comply with legal obligations, or protect the security, rights, and integrity of GetApplyMD and its users.

We may work with infrastructure, hosting, analytics, authentication, and communications service providers that process data on our behalf under appropriate controls.

GetApplyMD uses reasonable technical and organizational measures designed to protect information against unauthorized access, disclosure, alteration, and destruction.

These measures may include access controls, encryption safeguards, logging, monitoring, and operational procedures intended to support service security and reliability.

We retain account, workspace, clinic, and outreach data for as long as reasonably necessary to provide the service, maintain security records, comply with legal obligations, resolve disputes, and enforce agreements.

Users may request deletion of their account and associated data. Deletion requests are reviewed and processed in accordance with legal, contractual, and security retention requirements.
